MWCC Library Meeting and Study Rooms Policy

 

The MWCC Library has the following facilities available for instruction, meetings , and study groups groups rooms are for the use of students, faculty , and staff currently affiliated with MWCC. *

General Guidelines for Use of Study/Meeting Rooms:

Reservations:

  • To check room availability, consult the online rooms' calendar available at: http://www.mwcc.edu/Html/Library/calendars.html
  • Rooms may be reserved by calling: the Reference Desk (ext. 338); the Circulation Desk (ext. 125); or emailing the Library at library@mwcc.mass.edu .
  • Rooms may be reserved for a maximum of 2 hours per reservation. At the end of a reserved period, if no other patron has reserved the room, an additional 2 hour reservation may be made by contacting: the computer lab assistant; reference, or circulation desk staff.
  • Room 077 may be reserved by an individual for a maximum of 2 hours per reservation with the understanding that a group of 3 or more wishing to use the room may "bump" that individual into a smaller study room, if available. If another room is not available, the initial reservation shall be honored until a small er room becomes available.
  • Reserved rooms not occupied within the first 15 minutes will be considered available for use by other patrons.
  • Reservations should be canceled if the room is no longer required.
  • Reserving any room for recurring blocks of time (e.g. weekly, bimonthly, etc.) is not allowed. There should be no permanent, ongoing classes or meetings scheduled. Rooms may be scheduled one week in advance.
  • Rooms will be scheduled on a first-come, first-served basis.
  • First priority for study rooms is given to students or student activities, then faculty and staff.
  • Organized college groups like student clubs, or professional groups holding meetings, should fill out the Indemnification and Facility forms and send to the Director of Facility Operations for record keeping.

Policies:

  • A blackout period will be determined during finals each semester. During this period rooms will be reserved for student use only.
  • Rooms may be used while the library is open and must be vacated 10 minutes prior to the closing of the library.
  • Rooms are locked when not in use. Library staff will open rooms as necessary and rooms will automatically lock when the room is exited.
  • Rooms must be kept in good condition and all equipment and lights turned off before exiting. The person booking the room shall be liable for any damages or inappropriate use of the facilities.
  • Any problems should be reported to library staff.
  • Users are expected to comply with appropriate college policies.
  • Patrons are responsible for personal belongings left unattended in the study rooms.
  • Library materials remaining in the study rooms will be removed and reshelved.
  • The rooms are not sound proof; users should be aware of their noise level in order to respect other library patrons' need for quiet.
  • For technical assistance, contact a library staff member.

*Room Use by External Groups

While top priority for room use is reserved for those currently affiliated with the college, other groups may use the rooms during periods of lower usage such as summer, semester breaks, or during the evening at the discretion of the library staff. Those wishing to reserve rooms should:

•  Contact the library to determine room availability; if available, library staff will schedule on the calendar.

•  Indemnification/Hold Harmless Agreement and Facility Reservation Forms will be mailed by the library to the person making the reservation. Completed forms should be returned to the Director of Facility Operations.

•  The gold copy of the completed reservation form should be presented t at the time of room use.

•  External groups are limited to one meeting per month.

 

Video Preview Room (Rm 073)

This room is used for studying, tutoring, and video previewing. The room contains a computer, TV, DVD/VCR player, and two chairs.

Video Preview Room (Rm 074)

Priority for use of Room 074 will be exclu for testing accommodations (students must make arrangements with the Library Lab Specialist at least 2 days in advance). When not previously scheduled the room may be reserved for private study, tutoring, and video previewing. The room contains a computer, TV, DVD/VCR player, and two chairs


Conference Room (Rm 077)

This room contains a VCR/DVD player, conference table, and 10 chairs, and may be used for student video viewing, group study, seminars, or meetings.


Language Lab (Room 076)

The room may be reserved any time except during free period (and outside of when it is being used by classes).  During free period it is kept open on a drop-in basis and signs are posted to indicate this.  From 12:30-1:30, groups can use the room to meet in on a first-come, first-served basis and students looking for computer can also use the room.  Groups should be notified it will not be a private meeting space, and that if they need a private space, should book 077 ahead of time. Like all other study rooms, reservations are made in two hour increments, up to one week ahead of time.

Library Research and Instruction Lab (LIRL) (Rm 071)

The Library Research and Instruction Lab is for the use of students, faculty and staff of MWCC. The library strives to provide a state-of-the-art instructional facility which will be used primarily to complement the academic experience of students, and secondarily to serve the greater academic community.
Seating capacity: 25

Reservations:

•  The LIRL must be booked through library staff ( in the case of library instruction sessions, please refer the inquiry to a Reference librarian) by telephone (978-630-9125), email ( circulation@mwcc.mass.edu ) or in-person (please see library hours).

•  All MWCC faculty, staff and students are welcome to use the room; however library instruction classes are given priority over other classes.

•  Groups may be asked to shift locations if a library instruction session needs to be booked. Faculty, staff, and students are asked to submit requests to use the room at least one week before the desired class meeting time.

•  There should be no permanent, ongoing classes or meetings scheduled in this room.

•  The room is available during regular library hours, and with special permission, may be booked during other hours.

•  Individual students requesting computers for personal use should be referred to the open computer labs on the lower level.

Equipment:

•  Patrons/users are asked to shut off all equipment when finished with their session. This includes hard drives, monitors, and most importantly the overhead projector (the bulb for the projector is extremely expensive to replace).

•  All computers in the LIRL are networked to the laser printer located near the front of the room. There are no charges for printing while in the Classroom. If there are any problems while printing, please see a library staff member for assistance.

Supplies:

•  The library will supply paper and toner for the LIRL printer.
